Privacy Policy
Who we are
Pulse is recording studio management software operated by Myind Media LLC(“Pulse”, “we”, “us”), 835 Wilshire Blvd, Los Angeles, CA 90017, United States. This policy explains what personal information we collect, why we collect it, and the choices you have. It covers studiopulse.tech and the studio booking pages we host on behalf of our customers.
Information we collect
We collect only what is needed to run a studio’s bookings and communications:
- Contact details: name, email address, and mobile phone number, provided by you when you book a session, accept a staff invitation, or create an account.
- Booking information: sessions, rooms, times, add-ons, and related notes.
- Payment information: processed by Stripe. We do not store full card numbers on our systems.
- Bank and card data: when a studio connects its business accounts through Plaid: account names, the last four digits, balances, and transactions. You sign in to your bank inside Plaid, so Pulse never receives bank usernames, passwords, or full account numbers.
- Receipts: photos or PDFs that studio staff upload, and the vendor, date, total, tax, and last four card digits read from them.
- Technical data: IP address, device and browser type, and log data used to keep the service secure and working.
How we use your information
- To create, confirm, change, and remind you about studio bookings.
- To send account and service notifications you have asked to receive.
- To take payment and issue invoices and receipts.
- To import a studio’s bank transactions and balances, read uploaded receipts, and match them to its expenses so its books and profit reports are complete.
- To provide the AI features a studio uses in Pulse, such as drafted client replies, session recaps, and weekly briefings.
- To provide customer support and respond to your enquiries.
- To secure the service, prevent abuse, and meet our legal obligations.
SMS and text messaging
If you provide your mobile number and opt in, we send transactional text messages such as appointment reminders, booking confirmations, schedule changes, and account notifications. Message frequency varies with your booking activity. Message and data rates may apply.
Reply STOP to any message to opt out at any time, or HELP for assistance. Full program terms are in our Terms of Service.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How we share information
We do not sell your personal information, and we do not rent or trade it. We share it only with service providers who process it on our behalf under contract, and only as needed to deliver the service:
- Plaid: connecting a studio’s bank and card accounts and retrieving balances and transactions for its books. Plaid’s handling of your bank data is described in the Plaid End User Privacy Policy shown when you connect.
- HighLevel (LeadConnector): delivery of text messages.
- Resend: delivery of email, such as invitations, reminders, and invoices.
- Stripe: payment processing.
- Clerk: account authentication, including sign-in with Google or Apple when you choose it.
- Convex and Netlify: application hosting and data storage.
- OpenAI: AI features in Pulse, such as drafted client replies, session recaps, weekly briefings, and receipt reading when configured. Bank transactions and balances are never sent to OpenAI. Only the studio records a request needs, which can include client names and session details, are sent to OpenAI’s API, and OpenAI does not use data sent through its API to train its models.
- Google: Gemini reads uploaded receipt images and PDFs through its paid API to extract vendor, date, amounts, currency, and the last four card digits. Google does not use these paid API inputs or responses to improve its products; limited retention for abuse prevention and legal obligations can apply. Bank transactions, balances, and bank access tokens are not sent to Gemini. Gemini also creates a studio’s booking page header image from its name and brand colours. Gmail and Google Calendar are used only when a studio connects its Google account, to send its email and keep its calendar in sync.
- Ollama: looking up audio equipment specifications by make and model. No personal information is sent.
- Apple Push Notification service: delivery of alerts to the Pulse iPhone app. The app sends Apple’s push token for your device and the device’s name so that shift and clock alerts reach the right phone. Browser alerts use your browser’s push service the same way.
We may also disclose information where required by law, or to protect the rights, safety, and property of Myind Media LLC, our customers, or the public.
Where a recording studio uses Pulse to manage its own clients, that studio is the controller of its client data and we process it on the studio’s instructions.
Data retention
We keep personal information for as long as your account is active and thereafter only as long as needed for the purposes described here, to resolve disputes, and to meet legal, tax, and accounting requirements. You may ask us to delete your data at any time.
Your rights and choices
- Opt out of text messages at any time by replying STOP.
- Unsubscribe from email using the link in any message.
- Request a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate.
- Ask us to delete your personal information, or delete your account yourself in the iPhone app under More, then Delete account. This removes your login and closes your seat on every studio; the studio keeps its own records of shifts and sessions with your name removed.

Security
We protect personal information with encryption in transit, access controls, and least-privilege practices for staff access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
Pulse is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected in the “last updated” date above, and where appropriate we will notify you directly.
